The Refresh tab on the Projects interface hosts a list of all project refreshes along with their statuses. This is the second tab on the Projects interface.
Project Refresh Overview
The Project Refresh process helps users keep project information accurate, ensuring that a full and complete Project Universe is created of all capital investments details and current cash flows. The Project Refresh process is the mechanism for CIP users to propose modifications to their project information. Proposed changes are compiled into a listing of projects in the Project Refresh tab that reflect all proposed changes. This listing serves as a staging environment for CIP users to manage pending changes for review prior to submitting them to the Actions interface.
The Projects Refresh tab allows CIP users to propose additions or edits to project details without making immediate changes to the Project Universe. This process continuously refines the Project Universe, allowing OTP to generate timestamped CIP versions from that list; these timestamps include Development CIPs and Adopted CIPs. Additionally, the Project Refresh tab allows CIP users to assess the effect of their proposed changes on fund source availability prior to submission for integration into the Project Universe.
View & Access
Division and all other CIP users will utilize Project Refresh as a sandbox for building their Project Refresh list. The compiled list will be in a draft state until the Division submits the Project Refresh for review. When the user clicks save in the Project Details modal after editing a project, it appears in the Project Refresh list automatically. Uploaded lists are staged in the Refresh tab and can be edited before submitting for review and approval.
OTP division users will have the exact same view as other CIP division users since they will also submit project updates for their own division’s projects. OTP will review Project Refresh lists in the Actions module.
Filter
The Refresh tab can be filtered using the Quick Search picklists. The table below details the Quick Search filters available on this interface.
| Quick Search Field | Description |
|---|---|
| Division | This is a picklist of all values in the Division code list. It will be used to return all projects that are located within the selected Division. |
| Project | This is a textbox that allows the user to enter the project name in whole or in part. It will be used to return all projects that have the specified values in their title. |
| Division Grouping | This is a picklist of all values in the Division Grouping code list. It will be used to return all projects that are located within the selected Division Grouping. |
When values are selected in one of the Quick Search picklists, the Refresh table will be populated with the relevant project list.
Refresh Table
Each project listed in the Refresh tab will be composed of a Project Header and Project Change Table.
Project Header
The Project Header is displayed at the top of each project listing. It will be specified by these fields:
| Column | Description |
|---|---|
| +/- | This is an icon used to expand all project rows to view their Project Change Tables. If the user wishes to expand the rows individually, they can use the caret icons on the desired row under this column. |
| Division ID | This is the unique identifier for the CIP project as shown on the Detail tab. This value will be a hyperlink that will allow the user to navigate back to the Detail tab. |
| Division | This is the division in which the user who made the change is located. |
| Project | This is the name for the CIP project as shown on the Detail tab. This may be truncated due to space; however, the user can hover over the text to see the full value. |
| Action/Status |
This is the status of the change:
|
Project Change Table
Once the Project Header row is expanded (caret), the user can view the pending changes associated with the project in the Project Change Table. Multiple pending changes can be listed under a project. This table will be specified by these columns:
| Column | Description |
|---|---|
| Funding Level 3 | The detailed revenue source for the project, to the program level. Represented as [Funding Level 1 |Funding Level 2 | Funding Level 3]. |
| Value Changed | This is the project data element that has changed. |
| Former Value | This is the value of the data element prior to the change. |
| New Value | This is the value of the data element after the change. |
| Updated By | This is the user who made the change. |
| Updated Date | This is the date the change was made. |
| Notes | These are the notes associated with the change. They reflect the action taken and the status. |
Project Refresh Status and Actions
Once projects have been placed on the Refresh tab-- either by bulk importing or manual editing-- all CIP users will have the following options available within the Project Refresh tab:
| Project Refresh Actions |
|---|
| Save and continue building their Project Refresh list (sandbox). |
| Submit Project Refresh List for OTP to review in the Actions module. |
| Withdraw projects from their Project Refresh List and remove all proposed project edits. |
To submit the list to the Actions module or withdraw projects, the user must specify actions for the projects.
Specify Actions to take for Project Refreshes
To move a project through the workflow and into the Actions module, users must specify an action to take. Before selecting an action to take, the user must select a project (checkbox) or multi-select projects (checkboxes, checkbox in header). After selecting the desired project(s), the user can utilize the "Apply to Selected" picklist to specify an action for those projects. The available actions are:
- Queue for Approval - Move items to Queued for Approval status for review and execution.
- Queue to Withdraw - Move items to Queued to Withdraw status for review and execution.
If the user wants to remove an action from a project at any point before submitting, they can select the project (checkbox) and utilize this option in the "Apply to Selected" picklist:
- Remove from Queue - Remove the action/status (Queue for Approval or Queue for Withdraw).
Once actions have been specified, users can save or execute their queued actions.
| Option | Description |
|---|---|
| Save | If this button is selected, the queued status is preserved for later edits. |
| Execute Queued Actions |
If this button is selected, a pop-up is displayed to present a summary of the executions; then, the user can either cancel or execute the queued actions. Canceling will place the user back on the Project Refresh table and remove the items from the Review and Execute summary. Executing these actions will do the following based on the queued selection:
|
If the Action/Status is left blank for a project, it will remain on the Refresh table until the user gives it an Action.
